Product definition

CollectiveTap is a URL-native micro-app platform where the link is the app. Each link is one small group tool that unfurls as a preview card in any chat and opens a page anyone can use in a browser. No accounts are required to create a link or to take part, and there is no app to install.

Tools

There are eight tools. Their public names are Event, Vote, Sheet, List, Note, Task, Split and Hub; the older "-Link" names still appear in some URLs, such as /tools/slotlink/.

• Event (formerly SlotLink): An invite that counts heads. People answer with one tap (Join) or Going, Maybe or Can't go, can bring plus-ones and leave a note for the host. The organizer can cap it at up to 500 with a waitlist, set an RSVP-by date, hide names, repeat it weekly, every two weeks or monthly, split it into shifts, or find a time first. The page adds Remind me (browser push), Add to calendar, a map link and host updates. Layouts: Invite, Roster, Poster and Slots.
• Vote (formerly VoteLink): A poll in one of six types: single choice, multiple choice, yes or no, dates, ranked choice (instant runoff) and star ratings. Rules cover when results show (live, after voting, at the close), whether names are asked for, changing a vote, write-ins, a close time and auto-close after a number of votes. Layouts: Bars, Tiles, Podium and Date strip.
• Sheet (formerly SheetLink): A shared table the group fills in from their phones. Columns are typed (text, number, checkbox, date, choice), a totals row sums numbers and counts ticks, and a sign-up column turns blank cells into open spots. Paste from Excel or Google Sheets, sort, import and export CSV. Layouts: Grid, List and Cards.
• List (formerly ListLink): A checklist anyone with the link can add to, tick, reorder and trim, organised with section headings (each with its own count), notes and dividers. Layouts: Checklist, Sheet and Board.
• Note (formerly NoteLink): One formatted note for the group: headings, bold and italic, bullets, numbered lists, checklists, callouts and dividers. Participants can tap to edit unless the organizer makes it read-only; saves are versioned so a conflicting edit is never silently lost. Layouts: Page, Columns and Card.
• Task (formerly TaskLink): Who does what, by when. Tasks carry an owner, a due date, a status (To do, Doing, Done, Blocked), a priority, steps and notes; chores can repeat, and open tasks can be claimed. Quick add reads "Order the cake @Mia fri !!". The page shows it as a list, by date, by person or as a board. Layouts: List, Agenda, Board and People.
• Split (formerly SplitLink): Shared expenses and who owes whom: a trip or running tab, one itemised bill with tip and tax, a chip-in toward a target, or fixed shares like rent. Expenses split equally, by shares, exact amounts, percent or items, in any of 39 currencies, and a settle-up plan lists the fewest payments. Split records payments; it does not move money. Layouts: Plan, Balances, Ledger and Progress.
• Hub: One link for the whole plan. It holds links from the other seven tools and any web page, leads its card with what's coming up next, and shows Coming up, Recently updated, Who's in and a calendar view. Plan templates create every link at once. Layouts: Grid, Stack and Agenda.

Terms

• Share link: The link you post for the group. It opens the page where people answer, add and edit as far as the organizer allows. Also called the participant link.
• Organizer link: The private link that can edit, close and delete a link and see its Insights. The device that created a link is also remembered as its organizer, so the organizer link is mainly for other devices. Treat it like a password.
• Capability token: The signed token inside a share or organizer link that carries its permission (answer or manage). Tokens can be revoked in bulk by rotating them.
• Preview card: The image a chat app shows when a link is posted. It carries the key fact ("5 of 6 joined", "2 spots open"). Chat apps cache the card, so re-sharing the link is how the group gets a fresh one with the latest count.
• Re-share nudge: The prompt on a page that counts the changes since this device last shared the link, as a reminder to post it again.
• Colour (theme): The accent a creator picks for a link: one of 14, from Emerald, Ocean and Rose to Ink, plus four neons (Neon pink, lime, cyan and violet).
• Look: The visual theme of a card and its page, shared by every tool. There are 15: Classic (the default), Light, Dark, Glass, Bold, Warm, Paper, Confetti, Candy, Disco, Sunset, Cyber, Vision, Holo and Terminal.
• Layout: How one tool arranges its card and page, for example an Event as an Invite, a Roster, a Poster or Slots. Each tool has its own set; every layout works with every look and colour.
• Style tray: The row of three pickers under the title in every creator: Color, Look and Layout.
• Hub link and "Part of" bar: A link that belongs to a Hub shows a "Part of" bar at the top of its page, leading back to the Hub. Any link can be added to a Hub with Add to a hub after it is created.
• Link Insights: Per-link counts for the organizer: views (opens of the page), shares (times a chat app loaded the card), the tool's responses, a timeline and the chat apps people came from. Counts, never identities. See Link Insights.
• Waitlist: On an Event with a capacity, the ordered line of people who answered after it filled. When a spot opens or the cap rises, the next person moves in automatically.
• Plus-ones: Guests a person brings to an Event, set with a guest stepper (up to 10 each when the organizer allows them). They count toward the capacity.
• Find a time: An Event mode that proposes two to eight times instead of a date. People tick the times that work; the organizer's Lock this time turns the same link into the invite.
• Write-ins: Options that voters add to a Vote themselves, when the organizer turns on "Let people add options".
• Sign-up column: A Sheet column marked "People sign up in this column": its blank cells count as open spots on the card and the page.
• Link lifetime: A link stays open while people use it and expires after 90 days without activity; an Event or a Vote is kept until at least 30 days after its date. The organizer can close or delete it at any time.

Core primitives

• Link identity: a stable URL identifying one shared instance of a tool.
• Server-first state: authoritative state is stored server-side, not in browsers; a page's scripts only add to what the server renders.
• Card and page parity: the preview card, the creator's live preview and the page are drawn from the same layout for each tool, so they never disagree.
• Id-addressed edits: Vote, Sheet, Task and Split save each change as its own small edit, so two people changing different things at once both land.

Privacy and indexing model

Only public documentation and marketing pages are indexable. Tokenized capability URLs and user-generated app instance URLs are excluded from sitemap and AI crawling guidance. Link Insights count activity without names, accounts or IP addresses; names appear only where a group typed them into a tool, such as an RSVP or a named vote.
