Free Volunteer Sign-Up Sheet —
Every Shift, One Link
Fall festival, food drive, school carnival: list the shifts once and share one link. Each row shows its own spots, volunteers pick a shift and add their name, and they can get a reminder before it starts. No account and no subscription for anyone, including you.
How volunteer sign-up works
Choose the Volunteer shifts kind. It starts you with Setup crew, Ticket table, Food line and Cleanup crew; rename them, give each row its time and set how many people it needs.
Paste the link in the parents' WhatsApp, the church group or the PTA Slack. For the school hallway, print the flyer or show the QR code. The card draws one bar per shift, so the gaps are obvious.
Volunteers tap a shift, type their name and they are on it. They can turn on Remind me, and your host updates (“Parking moved to the east lot”) appear on the page and reach every phone with reminders on.
Fewer steps, more volunteers
Every extra screen loses volunteers. Here there is no email, password or confirmation step: open the link, pick a shift, add a name. Afterwards, Link Insights on your organizer link show opens against sign-ups by day, so you know when to post it again.
Reminders, the flyer, the QR code and host updates are all included. No paid plan and no ads in the sign-up flow, which matters when you are a PTA or a food pantry.
Each row counts its own spots, so volunteers head for the shift that needs them and you stop posting “still need two for cleanup”. When you do ask, re-share: the new card shows which rows are short.
When you need a little more
A Sheet from the Volunteers template has Shift, Volunteer, Phone and a Confirmed tick. Its Volunteer column is a sign-up column, so blank cells show as open spots and the card says “2 spots open”.
For the Saturday pantry shift, set the Event to repeat weekly. After each shift the link rolls over to the next date with every row cleared.
The Fundraiser plan bundles volunteer shifts, a prep checklist, the event day, costs and a note about the cause into one Hub.
Turn on hide names and volunteers see how many spots are left, not who took them. You still see everyone from your organizer link.
